How To Archive Emails

Gone were the days when you had to write long letters with pen and paper, having to repeat these when there are erasures and you had to wait for days before the intended recipient gets it. Today, as long as you have computer and Internet connection, you can create free account to send and receive email. Login to the email account you created and compose an email by typing it. If there are mistakes, you can simply hit the backspace button or select the part that you want to remove and hit the delete key. When you click on the send button, the intended recipient will immediately receive it. You will also receive the email immediately if the person replied to your message or if someone sends you an email. Microsoft Outlook and Eudora are some of the email programs you can use. If there are important emails that you received, you may want to create an archive so you will have a back up copy of these. Email archiving means saving the emails on a different location outside your mailbox. You can archive your emails on your hard disk, CD, flash drive or floppy disk. It’s better if you create an archive on your desktop and have a copy on CD as well so you’ll be sure your emails are safe even if your computer crashes.

Here are the steps on how to archive emails.

* Check emails. Login to your email account and check on your emails. See which of these you would like to archive. You can also delete the emails that you don’t need anymore.
* Create folder. Once you know which mails to archive, adjust the size of your mail window so that you will be able to see your desktop without having to close it. Right click on the desktop, click New and click Folder. Type “Archive” for the folder name.
* Download emails. Click on the emails you want to archive. Once all emails are selected, click the tools button then click mark for offline or the option on your email program that is similar to do this. You will receive a window asking you to download the emails, click on download now. These need to be downloaded before you will be able to archive your emails. If you decide to download later, click the send/receive button to start downloading.
* Move emails to folder. Once download is complete, drag the emails to the “Archive” folder that you created on the desktop. If you decide to create another archive on a CD, get a blank CD and insert this on your CD-ROM drive. A window will pop-up with an option to burn CD. Click on that option, click the add button and select the emails on your archive folder then click on the burn option. The emails will be saved on your CD.


Burning the emails on CD will not remove the emails save on the archive folder on your desktop. You now have two archives for your emails. If your PC gets corrupted, you don’t have to worry because you still have your mails saved on CD.
